Time does not stop. Anybody else notice that?

In spite of broken clocks and watches, time does not stop. Even the Rolling Stones knew that when they sang, “Time is on my side.” Hang on. That’s not the right lyrics. I really meant when they sang, “Time waits for no one.” And I don’t know if this is true or not, but I think they realize it more than ever when and if they tour now.

Since time does not stop, you shouldn’t either.

Oh sure, you can pause, or linger. And you can even vacay or staycay. But don’t stop. Because, as the old saying goes, “a rolling stone gathers no moss.” Gosh, I’ve really got a Stones theme going, right?

So, if you’re gonna keep moving (and hopefully you will and hopefully it’ll be forward), you’re probably gonna have more than a couple of things moving at the same time. And you’re gonna need to stay in control of what goes where and when it goes there. Some call that time management. But I like to call it schedule control.

And it’s so important I dedicated a big section to it in my RondaReady Business System book.

I learned, really early on in my professional life, how, if I wasn’t in control of my schedule, someone else would be. And I’m WAY too much of a control freak to let that happen. Because having someone else in control of my time is a recipe for chaos and confusion to me. And I’m gonna keep a hard “NO” for that.

Prep work. Be the sous chef of your business.

Hi. I hope you’re having a great day. Mine’s just dandy, thanks for asking. Except for the extra prep work I have to do this morning before I leave home. Yeah, I couldn’t just get up, have breakfast, get dressed, and go to work. No, today I had to also put on my hat, gloves, turtleneck, and jacket. Because, well, it’s February. So, it’s cold as I write this, here in Colorado. That means extra layers of clothes and extra work. And that all brings me to my point:

You gotta be prepared. Even for the prep work.

And I mean TRULY prepared. Not just what clothes you’ll wear for which weather.

I help people build and run businesses. It’s my main focus. And the kind of prep work I’m talking about requires focus. You gotta KNOW where you’re going. And you gotta get and keep your schedule under control.

Also, do you have all three areas of relationship building for your business systematized? And how about how you’re gonna attract customers and clients. Be sure to connect with them. And don’t forget to nurture them after the transaction and/or connection phase of the relationship is done.

And while we’re at it, what’s your answer to these questions?

  • Do you have things in place to measure performance?
  • And how are you keeping score?
  • I mean, how do you really know what you’re doing?
  • Are you putting together projections?
  • And forecasting…so you know what goals you wanna hit?
  • Do you have your processes and procedures documented?

Now, make sure you have a great system to help you answer those questions.

Because it makes it so much easier to create a turnkey business. And you’ll be able to train other people and set up tools to take your place in the day-to-day operations. That’s good prep work in action.

Ready for action no matter what? Nope.

Here’s a bubble burster. You can’t be ready for action no matter what happens. Yep, you read that right. But I should maybe clear that up a little.

Sure you can ready for action. Just not every action.

But don’t feel bad. Because nobody can be ready for everything. And I think too many people give that impression when they say things like “Be ready for anything.” Or “Get suited up and ready for action, come what may.” But I recommend you be ready for what you can be ready for today.

And there ARE things you can be ready for today. Like how you’re gonna continue to follow the course you set for yourself and your business today. Or how you’re gonna monitor your strategies for business components like schedule control, relationship building, and performance measurement. And how you’re gonna make sure your actions become habits. Because you know your habits set you on the fast track to a successful business. Right?

Wouldn’t it be great if you could apply your efforts to a system you can modify and personalize to save you time and energy? You know, sorta like a good workout. Just set up the proper form on good equipment and you’re ready for action with positive results.

Quitters never win. And winners never quit.

A very old saying, probably started by somebody like Ben Franklin, said, “Quitters never prosper.” Nowadays you’re more likely to hear somebody say “Quitters never win.” And that’s if they’re even willing to diss ’em.

I like the quitters never prosper version. But quitters never win works, too.

Because, no matter how you say it, it’s true.

So, if you’re gonna quit, do it before you ever start. But when you start something, commit to it.

Have you ever seen Dave Chapelle’s insightful skit about quitting in his stand-up routine? In one version of it, he talked about how one of his high school friends was so different from Anthony Bourdain. Here’s what he said. See if you agree…

On the surface, Anthony Bourdain had the good life by the tail. He was an American celebrity chef, author, and travel documentarian. And he starred in his own TV and cable programs. Pretty snazzy, right? By comparison, Dave’s high school friend started out in dire circumstances with apparently nothing going for him. And Dave pointed out how his friend was still going strong and making life happen. Meanwhile, Mr. Bourdain hanged himself at the age of 61.

That’s the ultimate example of commitment versus quitting.

Seth Godin, a brilliant marketer, wrote a book called “The Dip.” In it he talks about quitting. And that there is a proper time to quit. He says quit before you start investing time and money into something you aren’t going to complete.

If quitting is an option for you from the start, then your journey doesn’t mean enough to you.

Your desire and passion should be to make it work. To keep moving forward. And always looking for a way to make it happen. Your strategies might change. But you should never lose sight of your dreams and goals.

Shadow games should be left to the amateurs

One of my clients told me how he played “shadow games” with his new employees. And I listened to his explanation about how he was the only one qualified to show them how things worked.

Yeah, that’s how shadow games start.

Don’t know what shadow games are? Great! I hope you never know. Well, I guess I should define what they are. But I don’t want YOU to ever play them. So, if I tell you, will you promise me to never play them? Good. It’s a description of what so many business owners do when they hire someone new.

And here’s what I told my client when he told me he did that. “Instead of paying an employee AND still doing that job, why not make short, instructional, training videos?”

“That’s brilliant!” he replied.

And I thought to myself, “Not brilliant. Just efficient.”

But I said out loud, “Do it once. And let the system repeat it for you.”

To his credit, my client admitted how he felt like he wasted so much time explaining things to newbies that he couldn’t concentrate on building his business.

Bingo!

I wish it was common sense that a good system can help business owners become highly organized and run successful businesses. But, sadly, it just isn’t. So, ultimately businesses become mental battlefields. With casualties of hurt feelings, bruised egos, and so much lost time.

And you know what that turns into, right?

Time you can never get back.

And lost time almost always means lost money.

And I’m sure I don’t even have to mention what losing money does to your life. Yeah, not good.

But it’s all so avoidable. All you gotta do is what one of my happy clients said to do, “If you don’t already have a R.O.N.D.A. get one.” Of course, I can’t personally be there for everyone. No one can.

But I have the next best thing.

Comfortably numb isn’t gonna be comfortable

It might make for interesting song lyrics. But it shouldn’t be a goal or a lifestyle. And I’m talking about being comfortably numb. A comfort zone so routine that you’re clueless how to get out of its matrix-like hold.

Hello? Is there anybody in there?
Just nod if you can hear me.
Is there anyone home?
Come on now,
I hear you’re feeling down.
Well I can ease your pain,
Get you on your feet again.
Relax, I’ll need some information first,
Just the basic facts.
Can you show me where it hurts?

I borrowed those lyrics from Pink Floyd’s song, “Comfortably Numb.”

Yeah, the comfort zone. It’s just so darn comfortable. Right? But, I’m glad to be the one to tell you that comfort won’t get you where you wanna go.

Unless, of course, where you wanna go is shoe shopping. Or the couch. Or your favorite chair. But the shoe shop, couch, and chair ain’t where the money is. And no money means your comfort zone is comfortably numb dumb.

I had a client who was distressed about not being able to find new talent. Until recently, with a somewhat transformed local market, he always found potential personnel in the same places. But those places haven’t produced any prospects for a much needed additional crew member.

So…I challenged him to look in different places. I said,

“Sounds like your comfort zone isn’t so comfortable.”

So, he set up some other places to check into. Then he followed through…using the RondaReady CRM. And guess what? He found a qualified candidate, with the right skills and the right attitude, in a brand new place. Score! That’s how it’s done.

Risk control is essential even for risk takers

No, you don’t have to run a “Risky Business” (remember the movie with Tom Cruise?) to need risk control. And Tom Cruise’s character, in the movie “Risky Business” was involved in some high risk illegal activities. And you should Never Ever (with a capital N and capital E) risk your business that way. But you should know, even before you start your business, it’s a risk.

So, systematic risk control is necessary.

But probably most people are afraid of a little risky business. That’s why they opt for the so-called “safe jobs.”

Because they don’t want to take what they perceive to be the risks involved with business. And, in their defense (a little bit) it does involve some risk to start, run, and successfully build your own business.

Do you remember that old expression, “the greater the risk, the greater the reward.” Well, the cold, hard truth is, that’s not always true. But it’s true enough to become an old expression.

A client of mine (from a few years ago) was what they call “risk averse.” She always “played it safe.” Especially when it came time to take her business to the next level. And she’d spend days, weeks, sometimes even months analyzing every little move. Or piece of business equipment. Or even something as simple as a tagline for her website. So, after we’d been meeting for a few months, I suggested she should hire an assistant. Because she got so behind in her business duties that her work days went from early morning to late night.

“Oh no, I couldn’t,” she said.

“It would be too risky at this point. And I wouldn’t know where to start to get an assistant familiar with my process. I’ve barely got it down myself.”

So, I suggested she should jump into my RondaReady system with both feet. Because up until that point, she had only dipped her toes in. And her business had grown.

So, why not commit even more and get even more positive results?

Sure, there are no guarantees. But you can certainly stack the odds a lot more in your favor. Especially when you use a proven system to maintain risk control as much as possible.

Practice makes better; a better goal than perfect

Someone I worked with, a few years ago, who will remain nameless for obvious reasons, shared his frustration with me. His words, if I remember them correctly, were something like, “I know I need to be more efficient and productive. But I’m just not good at it.” So, I told him to practice better. Because practice makes better.

Of course, he wondered why I said “practice makes better.”

And I hope you already know why I said it that way. Because there is NO perfect. So, it’s a much better goal to get better. And that’s what it takes. Practice makes better.

But that might bring up another question. “OK, practice what?”

Short answer? Better habits.

Longer (and not so sexy) answer? Set up a system for your business. One that helps you organize and control every part of it like the most successful business owners and entrepreneurs do.

For example, your time. If you’re not in control of your schedule, someone else will be. You don’t have to look far to find someone ready and willing to take over and tell you when to do things. It can even happen at home. When you don’t take charge at home, your kids and pets will. Or other distractions.

And it only gets worse when that happens in your business with adults.

And it’s kind of a strange phenomenon, but prospects and customers have no problem taking control of when you meet. But they can only do that if you let them.

Oh yeah, don’t be surprised when your employees start making their own rules about time off. Or how productive they feel like being. But once again, let me emphasize this. Only. If. You. Let. Them.

So, don’t let them.

Stay in control of your schedule. You’ll be so much happier. But how do you do it?

Remember, practice makes better.

And a proven system can help you do that. For example, start with these steps…

  1. Decide what you really want to accomplish
  2. Categorize all the steps /tasks that must take place to achieve those accomplishments
  3. Work a time blocked schedule. Set recurring time blocks for those categories
  4. Be intentional about scheduling your day-to-day tasks and appointments during your corresponding time blocks
  5. Be vigilant about your daily schedule to support what you decided in the first step

Scale up formula to help with the unfunnest parts

Let’s talk about the always important scale up formula. OK, class. Pull up your calculator apps. And get ready to take some serious notes. Because we’re about to get knee deep in numbers.

NOT!

Well, not the kind of numbers you need a scale up formula for.

Before I jump in I wanna share what a client shared with me, a few years ago, about her thoughts on hiring a new person for a new position. She told me, “Hiring and firing aren’t exactly the funnest part of business.”

And we both laughed. A little. But I could see she really dreaded the process. So, I reminded her how I was gonna help her set up a great system for that. And I told her how she’d probably never have that feeling again once the system was in place.

Now, you might not even be close to being ready to hire or fire anyone. If that’s the case, then you might think you’re not ready for some sort of scale up formula. Because you think that part’s gonna come a lot later on. But here’s the thing.

“A lot later on” will get here before you know it.

  • On a scale from 1 to 5, with 1 being the easiest, how easy is it for you to plug someone new into your organization?
  • Are job positions and their responsibilities so clear even a newbie can understand?
  • Do you wing it, or fly by the seat of your pants, without a net?

And that last question. That’s something I’ve seen so many small business owners do. They give newbies just enough information to start getting a little of the work done. But then, they have to keep going back into training mode as they remember things they forgot to mention the first time around.

And if you ever fin yourself in that position, you probably feel just like my client did. Hiring and firing stink.

One thing at a time isn't a bad thing

Ease up on yourself little buddy. One thing at a time. And everything’s gonna be OK.

Yeah, someone brought up their multitasking skills again today. And once again I have to burst that bubble. Because doing something well requires focus. And you can’t focus on more than one thing at a time. Not if you wanna be exceptional. Sure, you can walk and chew gum at the same time (I hope). But, c’mon. Neither one of those require much focus. Right? They’re both just second nature movements. Don’t even have to think about ’em.

If you’re OK with mediocrity, by all means do more than one thing at a time.

But before you relegate yourself to that level of life, consider this. Focus is the number one skill of highly successful people. You don’t have to take my word for it. Interview after interview with millionaires and billionaires back up that statement.

And you started your business with the idea of being successful. Right?

Of course, otherwise it’s just an expensive hobby.

So leave all that multitasking silliness to the so-so’s and also-rans. And be better than that.
