Add a touch of class

Repeat after me

Look in the mirror and repeat after me

I do solemnly swear (c’mon, you can do it, repeat after me) that I will faithfully execute the Office of CEO of my business. And will, to the best of my ability, preserve, protect, and increase it for as long as I possibly can. Ok, good. Now you can rest assured your business will grow and thrive from now on.

Yeah, if only it were that easy.

Just because you repeat something after me or take a vow doesn’t guarantee success.

And I’ll bet you made a secret vow with yourself when you first started your business. Maybe you thought, “I’m never gonna give up.” And maybe your vow was something more like this, “I’m gonna do at least one thing for my business, every day, so I can be successful faster.” Sound familiar? If so, great!

I hope you did say those kinds of things to yourself when you started. And I hope you still do. Social media whirlpool

Spiraling down the social media whirlpool

Americans love their snazzy, “smart appliances.” It’s getting to the point where you can ask your refrigerator to calculate fractions for you while it monitors itself. And you can be somewhere halfway around the world and turn your house lights off with a tap on your phone. Advertising, these days, emphasizes how awesome you’ll feel knowing your appliances are so intuitively effective. For example, I just read an article about Whirlpool’s new “sensing technology.” And the article said their commercial is “a vignette of an attractive affluent couple enjoying a gourmet meal in a chic apartment…” Wow, even more proof of how easy it is for you, the small business owner, to get caught in the social media whirlpool. (pun intended)

There are lots of moving parts to social media. And that’s why it can turn into a whirlpool.

So, that’s why social media…and all your other marketing channels…should be as organized as you can make ’em. I can think of at least a half dozen tools you probably use to showcase your business. And those are just the tools. But each of them have a lot of details to organize. At least if you wanna know what’s working instead of guessing. And they’re only the tip of the iceberg in your marketing and prospecting.

I recently shared some tips about appointment scheduling. And those apply to your marketing and prospecting, too. Because, like I always say (and so does any millionaire or billionaire) Time. Is. Money. And your time is just as important any anybody else’s. In fact, it’s more important to you. Because it’s yours. And that’s especially important when it comes to social media.

Of course, it’s a great idea to stay social. And it’s not even a bad idea to connect to people on the relevant channels. But there are tons of distractions. And I don’t believe anyone is immune. I’ve had to catch myself and pull back from clicking or tapping on link after link.

If you do it wrong

If you do it wrong, you lose.

There’s something you do, in your business, that if you do it wrong, can cost you clients, money, and time. And those are the big three. Right? Because they’re all connected. No clients…no money.

Talking with people can bankrupt your business, if you do it wrong.

And I know that almost sounds antisocial. But I promise it’s not. Because here’s what I mean.

I know you probably have a variety of appointments. Right? And yours might include one or all of these. Networking appointments, initial consultation appointments, actual on-the-job appointments, appointments with vendors, and on and on. Sound familiar?

Do you do what others won’t?

Why is it only a very small group of people really succeed in this business owner life? Short answer. Because they do what others won’t do. But why don’t the others do those things? Because they’re hard. And time consuming. And no fun. Or at least that’s how THEY see it. Do you?

Little things like this help you hang up your competition

It’s the little things like this…

And big things, too. But right now, I’m talking about the little things like this. Answering the phone. Yeah, you read that right.

Did you ever watch Mad Men? It was a TV show about a fictional ad agency back in the 1960’s. And if you saw it, maybe you remember all those secretaries. Of course, it was a TV show, so you didn’t really get a good idea of why those secretaries were so essential to their bosses. But the main benefit they provided was time savings. Because they answered phone calls. And have you ever noticed how much time that can take?

Little things like this help you hang up your competition

I’ll bet your business could sure use a secretary. (or your secretary could)

But you’re a small business owner. And that might not be practical yet. But here’s something to think about (Wow, business sure takes a lot of thinking, doesn’t it?) It’s crucial to get a bunch of that stuff out of your head.

And I know how rough it can be to make yourself sit down and do that. But I promise, when you do, you’ll thank me later. Because, then, your business can function the way you want. And that means more hands-free. So, you can save time and money. Good things to save. Right?

Roles and responsibilities for the more benevolent dictator

Roles and responsibilities

I know a lot of entrepreneurs have no desire or intention to ever hire a bunch of people and deal with organizing a big organization. And even though I’ve worked in the corporate world and helped organizations do that, I feel that way too. So, that’s why I went ahead and designed a system to fit large businesses just as easily as it helps one-man-band types. Because even if you only hire somebody on a temporary basis, it’s essential to set up roles and responsibilities. That way you can be a more benevolent dictator of your own universe.

Set up roles and responsibilities now or deal with big headaches later.

And if your business is really starting to ramp up, I guarantee you’ll deal with headaches without a way to know who does what.

Just like the client of mine I mentioned, recently, who hired (and then had to fire) a friend of his. He made what I called a “rookie move” and had to pay the penalty. And the penalty included lost time, lost productivity, and possibly a lost friend.

I know how unfeeling it can “feel” to establish rules (roles) for the positions in your business. But it’s actually quite the opposite. Because, hurt feelings almost always happen because of a lack of clear communication. And you don’t get any clearer than rules (roles) written down in black and white.

But I’m not talking about writing things down, with a pencil, on a notepad. No, I mean you gotta set things up and put them where everyone in your organization has access. And so they can’t come back later and say, “But I didn’t know.”

So, that’s why I included a clear cut way to set all this up in my RondaReady business coach business management system. I’ve made it plug and play simple to use. Not easy. Rookie move lands business owner in the penalty box.

This rookie move doesn’t describe you,
does it…

A client of mine hired a friend to fill a position my client didn’t wanna have to do again. And it turned out to be a horrible mistake. Because the friend had no experience for the position. And I heard story after story about what went wrong. Week after week after week. Finally, my client had to fire his friend. But I’m not sure they’re even friends any more. So sad. And all because of my client’s rookie move. I’m sure you can see what it was. Right?

Yeah, the rookie move was to design a position around a person.

And in my years in the business world, I’ve never seen that work successfully. That’s why I always (with a capital A) advise my clients not to do that. At least the ones who have a big enough business to hire people.

But I get it. I know you might wanna “keep it in the family.” And that can be great. So, don’t misunderstand me. But remember, tweaking your business to fit someone’s personality is a recipe for future resentment. And it can lead to total business failure. I’ve seen that happen. You can love ‘em. But leave ’em out of the business if they aren’t qualified for the POSITION you designed.

Of course, you might be thinking it’s too much work to design positions and find people who fit them instead of the other way around. But there’s something you can use to take the pain out of it. In fact, if you do this, it might never be an issue for you again.

And when you do this, you’ll get a crystal clear picture of the relationships among the different positions in your business. It’s so important to do this I believe you stand almost no chance of having a successful, scalable business without it. And it’ll take a little work up front to get this set up. Do the work. Most people won't.

Hey you…it’s time to do the work.

People will say they want to start a business. And they’ll say they’re hard workers with great ideas. Because they think that’s all it takes. But when they get right down to it, they’re not willing to do the work it takes to make it all happen.

Do the work. Most people won't.

And who wants to do the work that feels like work, anyway?

Yeah, it’s so much more “romantic” to see yourself on a beach with a laptop than in a cubicle with ten square feet of gray walls. Right? And it’s cool to sit back and imagine road trips. And new clothes and so on and so on.

Because those are the rewards. And who doesn’t like or want rewards?

But, on the other hand…who wants to set up a prospecting appointment calendar? Or create company documents? Or set up cloud-based storage? And who wants to document procedures, from scratch, so you don’t have to trust your memory for every detail? Are you kidding me? Set up an operations manual?

No, that doesn’t sound “romantic” at all. And so most people won’t do any of it.

It’s much more fun to think about joining that country club. And buying that new SUV you’ve had your eye on. Right? Of course it is. I’d be lying if I said I never did that.
