Personal assistant that never calls in or takes sick days

How much does your personal assistant cost?

Or can you even afford a personal assistant? If not, are you sure you can afford not to have one? Oh, what’s a hardworking business owner to do? Well, allow me to share some ideas and tips on how to solve this dilemma.

In another post I talked about getting a personal assistant for your brain.

And I showed how important contact relationship management is to your business. And your sanity. Because your life is full of things you gotta do. Or things you’re gonna do. Right? Yeah, here in America, we’re almost hectic busy so much of the time. Even in times of high stress like this whole pandemic thing. So, why make it harder on yourself by trying to remember everything?

I’m always telling my one-on-one clients, “Your brain is too valuable to use as a storage drive.” Or something to that effect. And why would you want to focus on phone numbers, passwords, contact addresses, and so many more day-to-day details? Especially when you can get a personal assistant to remember those things so you can focus on creating and building your business.

What’s that? You can’t afford to hire an assistant? Who said anything about hiring? I recommend starting smaller. With an assistant you probably have with you right now. In fact, according to a lot of statistics, you might be using your assistant to read this right now.

Yeah, you probably already guessed. I’m talking about your phone. It’s an amazing organizational tool when you set it up to work for you. Let it remember everything you need to document. Quarterly report leads to a good money problem to have

How’s your first quarterly report this year?

Just did a quarterly report in a manager roundtable meeting with a client of mine. Boy, are they RondaReady! In the first quarter of this year they’ve already made 50% of what they made the whole previous year.

My client said he thinks it’s because:

New business intake mistake you make without this

And now for a little new business intake talk

What I’m sharing, today, falls under what I call the Stay Ready category. It’s about the systems you put together to help you be more hands-free. And, as the CEO of your own business, it’s crucial to do this. Because it saves you SO much time and energy. Either for you doing it yourself. Or in ways you’ll delegate to others. And even delegate to your automation tools. And this works great for new business intake. Like with a couple of my clients last week.

With a system, new business intake is a breeze.

Last week I had the pleasure of working with two of my clients on this very thing. They’re already in my RondaReady CRM System. And I helped them set up intake forms for their new clients and customers who call in requesting services. My clients were spending a lot of time on the phone. You know how it is. Those initial consultations that can sometimes drag out.

Organized business woman with a plan to prosperize

Are you an organized business woman?

Of course, at least half my clients, readers, and audience just said, “Uh, no.” Because you’re guys. I get it. But since I am an organized business woman, I’m talking to a specific group today. So, you Guys are off the hook. You can go do something else manly. And ladies, we can have some snacks and talk behind their backs. Just kidding (mostly).

Just in case you’re not the organized business woman you’d like to be…

I’d like to share a short story I shared last year. It’s about a time I was going on a vacation with my three kids. They were much smaller, and we were about to go on our first, official vacation as a family.

I was so excited to put everything together, plan the trip, pack the car, and hit the road. In fact, the whole family was excited. And we could’ve just as easily worried about things instead. For example, what if the car broke down…or wouldn’t start in the first place. What if we got lost on the way. And what if somebody got sick. But we didn’t worry about those things. We trusted the smooth-running systems in our car, in our plans, and in our ability to take care of each other. So, we were excited!

And that’s how I run my business, too. Worry free. Because I spent productive time getting organized. And now I’ve got a system, with plans, and skills I can trust. So, I can stay excited about it. Not worried.

Getting more clients isn't always the best thing for your business.

Would you like to be getting more clients?

If you’re a small business owner…especially one who’s just starting out…your knee-jerk reaction might be, “Duh! Of course.” But maybe getting more clients isn’t necessarily the best thing for your business. And I don’t know that for a fact since I don’t know you or your business. But for a lot of small business owners, it’s not always the solution to their problems.

Getting more clients could mean getting more headaches.

Because some small business owners haven’t set up a system to properly serve their current customers. And as a result, their customer service is mediocre, at best. And a business killer at worst.

A friend of mine recently took his car to a repair shop to have the brakes fixed. And the shop is reputable, been in business a long time, and they do good work. But after my friend dropped off his car early that morning, he didn’t hear a word from the shop all the rest of the day. And even by 11 the next morning, he still hadn’t heard anything about what the car needed. Or how much the estimate would be. Or anything at all for that matter. Do you think my friend was ready to give a glowing review. Certainly not.

Compare that with a recent story I shared about my experience with a car repair shop. Here’s a little of what I wrote about it…

“My car was making a weird noise as I took off for my first appointment this morning. So, I called Integrity. They booked me an appointment. And I actually got there early. But they went ahead and took me in early. And they looked over my car quickly, repaired it, and had it out in no time. Even better than that, they clearly explained to me what the problem was. And what it took to make the repair. And, like I said, it was all in record time. That was awesome because I had such a busy day ahead of me.”

Obvious difference. Right?

See what I mean? Which one of those shops do you think should be getting more clients or customers? Shop two…hands down. Because shop one hasn’t mastered the art of customer service. And what is customer service other than relationship building? And building better relationships is the number one way to attract and secure more clients. More business because you provide more service.

Simple.

But too many business owners don’t work on those relationship skills. If you’re honest with yourself, and you see your customer service has room to improve, don’t focus on taking on more business. Focus on serving the business you already have…better.

Vacation 2020

Vacation 2020

Last year, during the peak summer months, I wrote about how a system can help you vacation your way. And I mentioned how “the hurdle, for people with jobs, is waiting for that week or two weeks off to roll around each year.” Well, vacation 2020 might have an even bigger hurdle to overcome. Will you be able to visit a theme park, or the mountains? Or will you still be stuck in your “house of horrors?”

Of course I’m mostly kidding. Your vacation 2020 can be awesome no matter what.

And being “stuck” in your house (or close to home) with the family isn’t the worst thing in the world. Right? Hello? Right? 

But some things about vacationing don’t change. Regardless of circumstances, when you wanna leave the routine of working your business, you gotta plan for it. Because you’re the boss. And how successfully your time off is gonna work out depends on you. And your system. (You’ve got one, right?)

Imagine yourself lying on a pristine, white beach with coral, emerald, and aquamarine waters tickling your toes. Or in a rustic cabin in the quiet seclusion of the Rocky Mountains, contented wildlife quietly strolling by. And cool, dry breezes gently blowing through open windows past hand-sewn lace curtains.

Now…

Wake Up!

You’ve got a lot of work to do before you make those dreams come true.

Good news is…it’s the work you love doing. Because it’s your business. And your business is gonna pay for your time on the beach. Or in the mountains. Or in a boat on a lake. You get the picture. And when you set up your business system, and work your system, your business can keep going even while you’re gone. (Even if gone is only out in the back yard with some cool drinks and yummy food.)

Winners love the win-win

Winners and the “win-win”

Win-Win How many times have you heard that? Marketers, motivation speakers, and mentors of all kinds have talked about it for just about as long as business has existed. And for good reason. Because it means you care about outcomes for more than just selfish gain.

I spent a ton of time developing a dependable win-win system.

And my system devotes a ton of time to teaching you how to develop strategies for building your customer relationships. Because relationships can bring you more repeat and referral business than just about any other marketing tactics.

So…which would you rather do?

1. Write ads and pay money to hopefully attract people who don’t know, like, or trust you and your business? You’ll have about a 1% to 3% chance (if your ads are exceptional) of that strategy working.

OR…

2. Learn and create proven strategies for meeting more people, through word of mouth (referrals) who are already “IN” before they even meet you?

If you picked option #2, then give yourself a pat on the back and advance to the front of the class.

Referrals increase your conversion rate and repeat business while, at the same time, decreasing your efforts and budget. And you should be using this strategy because it’s easier to build your business when your friends and colleagues refer their clients and customers to you.

By the way…it works when you do that for them, too.

Time is on my side, said no real human being ever.

Time is on my side

Not! I think even the Rolling Stones, who are all now well into their 70’s, now know it’s not true. Sure, when you’re 20, you can sing “time is on my side” and feel like it’s true. But then, you blink a few times, and “suddenly” you’ve got a lot less time. And it’s so easy to spend (translate that to “waste”) it with unnecessary distractions and interruptions.

Here’s a couple of tips to help you feel like “time IS on my side”

Time management, or what I call schedule control, is about managing time. Not letting it manage you. Like with life’s distractions and interruptions. And there are tons of them. Right?

Did you know, every interruption or distraction from your work, takes 5 to 7 minutes of your time to recover from? In other words, it can take that long to get back on track. Because you gotta get your mind back in the right gear. And you gotta figure out where you left off. And those 5 to 7 minutes, multiple times a day, every day, week, month, and year, add up to a HUGE waste of time.

That’s all productivity time you can’t afford to lose…and you’ll never get back.

And it doesn’t even really feel good. Does it?

When you can’t stay on task, and your mind wanders all around, anxiety can creep in. Not good for you, your business, or anyone around you who’s affected by your lack of productivity.

So, try this…

When you’re working at your desk, don’t have more than one thing in front of you. Don’t be outnumbered. It’s like having more than one kid trying to talk to you. You can go nuts. I know. I have three. So, keep your work “One Thing at a Time.”

And how about that whole Facebook thing?

A lot of people spend a lot of time scrolling through the Facebook newsfeed or timeline. Did you know there’s a Chrome extension that “kills” the FB newsfeed? Yeah. Talk about a time saver. And distraction destroyer. Are you really serious about getting ahead in your business…not spending time on things that take you nowhere? If so, kill that FB newsfeed.

So, try those couple of tips today. And let me know how it helped you.

Follow the leader is a game for kids. Not a business owner like you.

Do you still follow the leader?

I’ve mentioned, before, how it’s OK to admit you’re not a business owner. And it’s even OK to stop trying to be a business owner. Especially if you’re feeling overwhelmed by it all. Maybe you feel like you can’t keep up with all the new skills. Or you just don’t have time to organize and delegate. Or maybe you read, listen to, and watch a variety of business experts (me included). And you can’t decide who’s right or wrong. You might be playing a risky game of follow the leader.

It’s ok for kids to play follow the leader. But not business owners.

Now, I’m not saying you shouldn’t bother getting a mentor or a business coach. That would be silly of me since I’m a business coach. But notice I said “a mentor” and “a coach.” Not plural.

Multiple choices, when it comes to mentoring and coaching, put you in the “follow” mentality. In fact, you end up chasing your own tail, so to speak. And a business owner should lead. Not follow. Plan. Not chase.

Here’s something else I’ve said before. “It takes business owners AND employees to run a successful business.” But you’ve gotta decide which one you are. Before you waste too much time. Because if you’re gonna be the leader, you don’t need to overwhelm yourself learning a shipload of new skills. Instead you could use that time to organize and delegate that work to someone else.

Yeah, that means giving up some control. But only because you’ve got everything under control. With a system you can depend on. A system that helps you automate, delegate, and even resuscitate your passion.

Remember that old saying, “Lead, follow, or get out of the way”?

Doubt and fear ain't got no business in here.

Shh..what’s that? Doubt and Fear?

OK, here’s a quick question for you. Are doubt and fear your friends? Hmm…I’d like to make a suggestion you might think is a little bit odd. But hear me out. OK?

Doubt and Fear certainly don’t act like your friends.

When do they show up, anyway? Not when things are going great. Right? Because when things are going great, you can pretty much get through a lot. But when something negative happens…some challenges, some obstacles…where do you go then?

Do you find it easy to stay positive? Or do you give in to Doubt and Fear? In the recovery industry, they talk a lot about the “committee in your head.” And I’d say we all have that. Right? One voice telling you, “You can’t do that.” And another voice saying something like, “You’re not good enough.”

I’ve found that, instead of shutting out those voices, make friends with ’em. Because shutting out doesn’t really make ’em go away. So make friends with the little voices. You know they’re coming. You know they’re gonna talk to you. But when they naysay, just say something back like, “Oh, there you are again, Danny Doubter. Nice to see ya, bud.”

Yeah, just acknowledge the voices. And then put them in their place and move ahead. But definitely don’t give in to them. You’re stronger than that. So, practice being stronger than that.

Because, like I say ( a lot)…what you think can bring on what you feel. And what you feel can lead to certain kinds of actions. And if you’re building a business to support your chosen lifestyle, those actions need to get you there.

So, don’t let those voices keep bossing you around.

Right? Right. Take control. Because you can. And you need to. And you’re going to.
